This Privacy Policy explains how GALMUN 2026 collects, uses, stores, and shares information when you browse the public website, submit an application, or use the My GALMUN participant area.

1. Who We Are

GALMUN 2026 is the official website and participant platform for the Galabov Model United Nations community based at the 91st German Language High School in Sofia, Bulgaria.

This website is used to share public conference information, accept participant applications, and provide invited participants with access to the private My GALMUN area.

2. Information We Collect

When you use the public application form, we may collect information such as your name, date of birth, email address, phone number, school, country, city, attendance details, dietary information, medical notes that you choose to submit, and other application-related responses.

When you use My GALMUN, we may collect or receive account information needed to authenticate you and manage access, including your email address, display name, authentication identifiers, role, account status, and related sign-in metadata.

If you choose to sign in with Google, we receive the information made available through the selected Google sign-in flow, which may include your name, email address, Google account identifier, and profile image if provided by Google.

3. How We Use Information

We use personal information to review applications, communicate with applicants and participants, operate the conference, manage participant access, protect the website, and respond to support or administrative requests.

Information received through Google sign-in or other authentication methods is used only for authentication, account security, access control, and operation of the My GALMUN participant area.

We do not sell personal data and we do not use Google sign-in data for advertising, profiling, or unrelated secondary purposes.

4. Authentication, Cookies, and Security

Authentication for the private participant area is provided through Clerk. Clerk may use cookies, tokens, and related technologies to keep users signed in, protect accounts, and prevent abuse.

We also use reasonable technical and organizational measures to protect information in transit and at rest. No system can be guaranteed to be perfectly secure, but we work to limit access to authorized organizers and service providers who need the information to operate the website.

5. Sharing and Service Providers

We may share data with service providers that help us operate the website and conference systems, including authentication providers, hosting providers, database or infrastructure providers, email or communications tools, and other vendors reasonably required to run GALMUN 2026.

At the time of writing, this website uses Clerk for authentication and a hosted PostgreSQL/Neon-based database stack for application and account records. We may also disclose information where required by law, regulation, court order, or to protect the rights, safety, and security of participants, organizers, and the website.

6. Data Retention

We keep information for as long as it is reasonably necessary to operate GALMUN 2026, manage participant access, maintain records, resolve disputes, comply with legal obligations, and enforce our policies.

If an account is no longer active, we may retain limited records needed for administrative, legal, security, or audit purposes.

7. Your Rights and Choices

You may contact us to request access to, correction of, or deletion of your information, subject to legal, operational, and safety requirements. You may also stop using the My GALMUN area at any time.

If you no longer wish to use Google sign-in, you may choose another available sign-in method where supported or request account assistance from the organizing team.

8. Children's and Student Data

GALMUN participants may include minors and students. Where required by applicable law or conference policy, a parent, guardian, or school representative may need to provide consent, approval, or related documentation.

We ask applicants and participants to provide only information that is necessary for the conference and participant management process.

9. Google User Data

If we receive information through Google sign-in, we handle that information in accordance with this Privacy Policy and only for the limited purposes disclosed here.

Any data received from Google APIs or Google sign-in will be used in line with the Google API Services User Data Policy, including applicable Limited Use requirements.

10. Changes and Contact

We may update this Privacy Policy from time to time. When we make material changes, we will update the date on this page.
